How to Bill Students for Excursions as a Batch

You can bill students for their excursion activity by using an inbuilt script that finds Excursion records and creates billing lines from them.

The script is found at Common Tasks > Billing > Send camp or excursion fees to Accounts File.

The script starts with a Find window where you can select the excursion you want to bill for.

Or if you leave the Excursion field blank, the = in the Sent to Accounts field will find all records that have not yet been sent to accounts, regardless of which excursion they're for.

You come to a list like this.

In this screen you can further refine the list by omitting specific records, constraining the found set, and so on.

When you are ready, select Continue to create the Accounts lines.

That will create billing lines for all the selected records. Those billing line will be visible in the Student Accounts file, but note that they are not finalised and sent to your finance department yet. See Process All Unbilled Amounts for guidance if needed.

How to Bill Just One Student for an Excursion

If needed, you can send the excursion cost to accounts for an individual student.

Open that student's record in the Students file and navigate to the Excursion tab. Open the Excursion record you wish to bill and select the blue Send to Accounts button.

That will create a billing line for the activity for that one student. That billing line will be visible in the Accounts tab for that student, but note that it is not finalised and sent to your finance department yet. See Process All Unbilled Amounts for guidance if needed.
