New Calendar View

New in 2024, this calendar view is more user-friendly

Overview

The new calendar view in Music Monitor displays all calendar entries created by any method. The main differences from the older view are:

  1. It is displayed in calendar format, making gaps in the schedule visually apparent.

  2. You can reschedule by simply dragging and dropping.

Navigation

For music administrators, the icon is a star on the Home screen. The old calendar is still there, with the traditional calendar icon.

For teachers, both views have a calendar icon.

The Calendar

It looks like this:

Usage Notes

  • You can filter your view by Teacher, Student, or Venue.

    • Teachers cannot view other teachers' schedules

    • If you add one type of filter, it will clear any other type of filter you had in place

  • You can create a new calendar entry just by clicking on an empty timeslot in the calendar.

    • The entry will default to the day and time you clicked on. Fill in the remaining details.

    • The + button will also create a new calendar entry. Edit the details as needed.

  • Entries are colour coded. See the key at the bottom of the calendar.

  • If you hover the mouse over an entry that is indicating a clash, a tooltip will display the description of the entry/exclusion it clashes with.

  • The Show Students button will open a card window showing a list of the students related to the calendar entries you're currently viewing.

Schedule Lessons from Within the Calendar

*New in 2025!* From version 9.240 onward, teachers can fully manage their schedules from within the calendar. They no longer need to engage with the Scheduling Tool.

  • Note: We still recommend that music administrators use the Scheduling Tool if they are scheduling lessons.

  • Note: Lessons scheduled directly in the calendar will appear in all other places calendar entries are displayed, and will feed information to the rolls, but they will not appear in the Schedule.

Add a Lesson to the Calendar

There are two ways to do this.

1. Student First

Select the Show Students button

Select the Copy button on a student listing

Select a timeslot on the calendar and select the Paste button in the dialogue that pops up.

2. Timeslot First

Select the timeslot when you want the first lesson to be. A dialogue will open where you can fill in the details.

  • Category: Tuition

  • User: If you are a teacher, this will be pre-filled with your name.

  • Description: Select the student's name from the list.

    • If you don't have a list of students' names, check that you have selected Tuition and a teacher's name.

  • The details of the enrolment will fill automatically based on your selection.

  • Venue: Select the room

  • Exclusions: This will pre-fill with any calendar exclusions that clash with this lesson time.

  • Note: This will pre-fill with any notes that have been created in relation to this enrolment.

Repetitions and Rotations

Once you have created a calendar entry for the first lesson, you can repeat it for the rest of the term.

Select the Repeat button.

Then set up the repetitions for this lesson.

  • Frequency: Daily, Weekly, or Fortnightly

  • Last Date: This would usually be the last lesson of the term

  • Tick box to ROTATE times: If this lesson time needs to rotate

  • Movement: How much later it is scheduled on each repetition

  • Start and finish times: Your availability to teach this lesson

    • Note: If there are fixed lesson times or other bookings already set up in your calendar, this lesson will fit in around them. It will not displace them.

Edit A Calendar Entry

You can reschedule a Calendar Entry in this view simply by dragging it to a new day and time.

You can change the Finish Time of a Calendar Entry by dragging the bottom of the entry up or down to the desired time.

  • *New in 2026!* From version 10.004 onward, you can also adjust the Finish Time by opening the Calendar Entry and typing in the new time.

  • By either method, the Lesson Length will also be adjusted when you make this change.

You can edit other details in the Calendar Entry by opening the entry and changing the details.
