Overview
If you're extracting calendar data from Music Monitor, it's probably for one of two reasons:
You're taking information about upcoming bookings, and you need the Calendar information.
You're taking information about past bookings, and you need the Attendance information.
If your need isn't exactly one of these, you can still make use of the options given in this article, but you may need to modify the search criteria to match your need.
Calendar Exports
View and Export Calendar Entries
To pull out calendar data from Music Monitor, this is the most direct method. You may miss it because it's not one of the listed reports - instead you access it directly from the Students file.
In Students, find the students you want to extract the data for. Then open any one student's record, go to the Calendar tab and select More > Go to related Calendar Entries for FOUND SET.
You will then need to nominate a Week commencing, to view calendar entries for one particular week.
NOTE: You must choose a Monday date.
All calendar entries relating to the students you were viewing when you ran that search will now appear in a table.
You can save this data as a spreadsheet, which some users import, to display students' music activities in another system.
Calendar Information for Classroom Teachers
Many schools wish to export information on students' music lesson commitments to provide to classroom teachers so they know when their students will be out of the classroom. Music Monitor provides reports for this purpose.
*New in 2025!* From version 9.240 onward, a report is available that displays both Tuition and Ensemble enrolments.
Common Tasks > Timetables > Calendar Entries::View Timetables by Class/Form (include ensembles)
This script allows you to search calendar entries by a number of different fields. It then displays the results in a printable form, grouped by Class or Form (or Year Level if you don't have Class or Form information).
Older Versions
If you don't yet have this new script, you can instead produce two separate reports for Tuition and Ensemble bookings.

Common Tasks > Printouts > Ensembles::Ensemble Class Lists
Note that Ensemble Class Lists just displays the ensemble's listed time in the Schedule. If the time changes week to week, this time change is not reflected in the report. The reports that take Calendar Entries do display the correct time for each different week.
Attendance Reports
A variety of Attendance reports is available from Common Tasks > Roll-marking TUITION.
These reports are also available from the Attendance Records file under the Reports button.
Track Attendance
This report lists Tuition Enrolments and gives the attendance data for each enrolment.
Attendance Report
This report shows attendance data grouped by Teacher and Attendance Code.
Attendance Report DETAIL
This report shows attendance data separated into individual students, grouped by teacher.
Student Lesson Count Summary
This report shows the number of lessons delivered against the number of lessons billed. It lists each student but groups by Teacher. An optional breakdown separates the results by Attendance Code.
*New in 2026!* From version 10.003 onward, the Breakdown layout has a Show Summary button to easily go back to the initial version of the report. If you don't yet have this version, the only way to get back to the first view is to close the report and run it again. (It's quick to run, but the new button saves some clicks.)
