Resources Printouts

A script step-through for producing various printable reports on the resources in your file.

Overview

You can use Music Monitor as your asset register. There is functionality to manage activity relating to individual resource items, while the scripts listed here help you when you're looking at your asset register as a whole.

You can find these scripts at:

  • Common Tasks > Resources, or

  • Common Tasks > Printouts.

Report Options

The scripts below produce pre-formatted reports that you can print or save as PDF. Each one is optimised for the purpose it's designed for, in response to user feedback. But you are free to vary the search criteria and use any report format to view any set of resources records you choose.

Print Instrument Stocktake

This report finds ALL and ONLY the instruments in your Resources file.

The report is displayed in landscape orientation and includes:

  • Instrument Type

  • Ref No. / Alt Ref No.

  • Size

  • Description (as "Brand/Make/Model")

  • Serial NO.

  • Status

  • Location

  • Hired/Loaned To

  • Form

  • Teacher

Print Instrument List

This report finds ALL and ONLY the instruments in your Resources file.

The report is displayed in landscape orientation and includes:

  • Instrument Type

  • Reference No.

  • Description (as "Brand/Make/Model")

  • Serial No.

  • Location

  • Notes

Print Music Catalogue

This report finds ALL and ONLY the music books in your Resources file.

The report is displayed in landscape orientation and includes:

  • Title

  • Composer

  • Publisher

  • Category 2

  • No. Copies

  • Location

  • Reference No.

Print Locker List

This report finds records that have "Other" in Category 1 and "Locker" in Category 2.

The report is displayed in portrait orientation and includes:

  • Locker No.

  • Padlock No.

  • Currently Issued To

  • Form

  • Status

Print Locker List 2

This report finds records that have "Other" in Category 1 and "Locker" in Category 2.

The report is displayed in landscape orientation and includes:

  • Locker No.

  • Padlock No.

  • Location

  • Currently Issued To

  • Form

  • Status

  • Notes

Print Equipment List

This report finds Resources records that have "Other" in Category 1. This is generally used for miscellaneous equipment such as PA or AV gear, but you may have other items set up in here.

The report is displayed in landscape orientation and includes:

  • Category 2 (as "Equipment Type")

  • Description

  • Serial No.

  • ID No.

  • Location

  • Notes

Print Costume List

This report finds ALL and ONLY the costumes in your Resources file.

The report is displayed in landscape orientation and includes:

  • Reference No. (as "Costume No.")

  • Category 2

  • Description

  • Category 3

  • Status

  • Hired/Loaned To

Print Asset Register

This report finds ALL and ONLY the instruments in your Resources file. It differs from the lists above in that it groups the items into categories, and it reports on the monetary value of the items and not on their locations.

The report is displayed in portrait orientation and includes:

Sorting Fields (as section headings)

  • Category 1 (e.g. "Instruments")

  • Category 2 (e.g. "Bassoon")

Reporting Fields (as column headings)

  • Reference Number

  • Alternative Reference Number

  • Description

  • Date Purchased

    • NOTE: Our sample data only have the year entered, but if you enter precise dates they will be displayed

  • Purchase Price

The Process

All these scripts work through the same set of steps.

When you run the script, it will open the Resources file on a Find screen, pre-filled with the criteria to find the resources relevant to that report. You can edit or refine the search requests here if needed.

Select Continue in the top right, or in newer versions select Perform Find in the top bar.

The script will display the report in Preview mode.

Select Save as PDF or Print, as needed.

Close the window when finished, to return to the Common Tasks menu.
