Common Tasks

The Common Tasks menu and its functions in Music Monitor

Overview

Common Tasks is a menu of scripts and shortcuts in Music Monitor, organised into categories that serve as both a place to find the scripts and a checklist to work through. It is particularly significant for processes such as billing and managing attendance records.

Navigate to Common Tasks

There is a Common Tasks icon on the Home screen.

Several of the items in the Office Admin menu on the Home screen are also shortcuts to Common Tasks categories.

Use Common Tasks

The Common Tasks window opens displaying the category you viewed last. If it's the first time you've opened it since logging in, it displays no category.

  1. Choose a category by selecting the grey drop-down menu below the black top bar.

  2. Select a task in the list to start its individual script.

    1. Select Help (the question mark icon) to see information on the script's function.

Number and Sorting

The numbers on the left side of the scripts control sort order. See Customise Common Tasks for guidance on reordering tasks (and much more).

The Favourites Box

The Favourites box is near the middle of each row. Tasks with that box ticked appear with yellow shading. We recommend that you use this to highlight tasks that you use frequently, to make them easier to find.

Note: To clear the Favourites boxes for all tasks in this list:

  1. Select the Settings wheel in the top right

  2. Select Clear 'Favourites' in This List

The Notes Field

Each task row has a Notes field towards the right. You can type anything into that field.

We recommend you make notes there to remind you how and when your particular school uses these tasks. For example:

  • "Do this every term"

  • "Remember to update fees before this step"

  • "Don't do this until after reconciling billing"

Entering these notes here helps you to run your processes smoothly each term. It also helps anyone who might need to fill in for you, and it helps the next person who takes over your role when you move on. It also greatly helps the Music Monitor team when we're training the person who takes over your role.

The Complete Box

Each task row has a Complete box towards the right-hand end. This is a completely optional feature that you can use to track progress through multi-step processes such as billing or end of year procedures. To use this:

  1. Select the Complete box on each task as you complete it.

  2. When you have completed all necessary tasks in the process, select the Settings wheel in the top right and select Clear 'Completed' in This List to clear the box on all tasks in this list.

Hide and Show All

The Eye icon in Music Monitor toggles visibility or inclusion of items.

In Common Tasks, each task has an Eye icon on the end of the row to semi-permanently hide it from the list. This will hide the task for all users indefinitely.

We recommend that you hide tasks that run processes your school does not use. This keeps your list smaller and easier to use and reduces the scope for error.

To restore omitted tasks to the category, select Show All (the eye icon). This will restore the task for all users indefinitely.

Modify Categories

You can edit existing categories and add new ones by selecting Edit Categories under Settings. More information on editing categories see Customise Common Tasks.
