Customise Common Tasks

How to set up this area in Music Monitor to best suit your processes

Overview

Common Tasks is a directory of tasks in Music Monitor that perform processes. It includes a lot of specialised scripts created to meet the needs of particular schools with particular business processes. We recommend that you spend time customising the Common Tasks area to match the way your school uses Music Monitor. It can make your processes much more efficient.

Edit Existing Categories

The Common Tasks menu is organised into Categories.

Many of the categories contain a long list of tasks, all developed for different schools to meet different needs. Customising this list will make your processes clearer and your work easier.

Re-Order the Tasks

The order these items appear on the list is determined by the numbers on the left-hand end of each row. To change the sort order:

  1. Select the number on the task you wish to relocate in the list

  2. Change the number to one that ranks it where you want it to sit in your list

    • Tip: You can use decimals such as "4.1" to place the task exactly where you want it to be

  3. The task will move to its new location in the list.

Tidy the Numbers

If you have used decimals to re-order your tasks and you want the numbers to display as a simple "1, 2, 3" again, you can do that:

  1. Select the Settings wheel in the top right

  2. Select Set Order to Whole Numbers

  3. Music Monitor will re-number the tasks again from the top, in the order you have placed them.

Create Your Own Category

You can create a new Category for this drop-down list. Some schools create a quick list of "Regular Admin Tasks", or perhaps you have a process with a lot of specific steps that you wish to have its own Category.

  1. Go to the Settings wheel > Edit Categories

  2. You come to the editing screen.

    You cannot create new items from scratch. You can only duplicate an existing item.

  3. Use the Category selector to view the list that contains the item you want to duplicate.

  4. Select the item, then select the Duplicate button in the top of the screen.

    You will now see two of that item.

  5. In one of them, select the Category field and type the name of your new Category in there.

    Your new Category is now an option in the drop-down list.

  • Note: The numbers that determine sort order have been copied along with the rest of the task, so you may wish to number them differently in your new Category.
