General Tidy-Up Scripts

An easy way to check for dodgy data in Music Monitor

Overview

The General Tidy-up category of Common Tasks includes scripts for checking data quality. They are in three types.

Students That Have Left School

The Find Active Records of Students That Have Left School script find active Tuition enrolments, Ensemble enrolments, or Loans & Hire records belonging to students not in the student file.

For schools, these will usually relate to students who have left the school, and so their student record has been removed in the regular student import process and is no longer in Music Monitor. Schools will usually wish to terminate all records found by these scripts (be careful not to terminate loans if the instrument has not been returned).

For conservatoriums, these are most likely to be students who have been deleted from Music Monitor (usually because they were an erroneous duplicate). Conservatoriums will usually wish to investigate further, and either re-assign records found to a valid student record/s or delete them.

Blank Records

The Find Blank Records scripts find problematic records in their respective file. These are usually records with insufficient data to be of consequence (such as a loan record with no student or instrument assigned). Usually, found records are best deleted.

Delete Past Calendar Exclusions

Once the date of a Calendar Exclusion has passed, there is generally no need to keep it. If this file gets very big it can start to slow down its processing.

Find Students Tagged as External

If you have some students tagged as "External", this script finds them for you so can review whether they still need to be tagged or not.
