Dismiss and Restore Calendar Alerts

Managing the alerts for calendar clashes in Music Monitor

Overview

Music Monitor displays an alert when a Calendar Entry clashes with another Calendar Entry for the same student.

Teachers and music administrators can dismiss these alerts so that they no longer appear. Music administrators can also restore alerts that have been dismissed.

Sources of Calendar Alerts

Music Monitor will display an alert if:

  • A Calendar Entry is allocated to the same Student or Venue as another Calendar Entry, at the same or an overlapping time.

  • A Calendar Entry is allocated to a student who is included in a Calendar Exclusion at the same or an overlapping time.

View Calendar Alerts

Calendar alerts are visible in a few places in Music Monitor.

For Teachers

Teachers can see calendar alerts in three places.

  • On the Roll, they appear as an orange Hazard symbol. Select the icon to see the detail of the clash.

  • On the Calendar Entries tab of the Schedule, they appear as a yellow Hazard symbol.

    • You can also navigate to here by selecting the Old Calendar icon on the Home Screen.

    • Hover over the icon to see the detail of the clash.

On the New Calendar, they appear as a yellowish colour-coding. Hover over the entry to view the detail.

For Administrators

Administrators cannot see calendar alerts on the roll, but they can see them on the calendar views as described above for teachers.

Dismiss Calendar Alerts

Teachers and administrators can dismiss calendar alerts in Music Monitor.

After an alert is dismissed, it will not appear again. The alert is connected to the Calendar Entry, so if other teachers are connected to the same Calendar Entry (such as an ensemble rehearsal), the alert will be dismissed for others as well.

Dismiss One Calendar Alert

To dismiss a calendar alert in Music Monitor:

  • View it in the Calendar Entries tab of the Schedule.

  • Select the Hazard icon or the Calendar Entry to open it.

  • Select the bright yellow DISMISS Calendar Alert button to dismiss it.

Dismiss Calendar Alerts in Bulk

The List view of the Calendar Entries file has a script under the More... button to Dismiss calendar exclusion alert for FOUND SET.

Administrators can navigate to this view by going to Home > Student Activity > Calendar Entries.

Teachers can also navigate to this screen but the route is more roundabout:

  • Go to Home > Old Calendar

  • Go to More... > Advanced search (all calendar entries)

  • Enter search criteria here, or alternatively just select Continue

  • Perform a new Find in this screen if needed. Note that if you run the script to dismiss alerts for the found set, alerts will be dismissed for all Calendar Entries in the list you are currently viewing.

Restore Dismissed Alerts

Calendar Entries in Music Monitor have a field called Dismiss. If that field has "Yes" entered in it, alerts will not be displayed. The function to dismiss alerts enters "Yes" in that field.

To restore alerts, you simply need to remove the entry from that field. Teachers do not have access to that field, so only music administrators can do this.

View Dismissed Alerts

Music Monitor has a script to display the dismissed alerts from a given Calendar Exclusion.

  • Go to Home > Setup Files > Calendar Exclusions

  • Select a Calendar Exclusion

    • Tip: Select the box under the URL Link heading. Selecting the record in other places causes it to open.

  • Select More... > Show dismissed calendar entries for selected event

You will see a list of Calendar Entries, and they will have "Yes" in the Dismiss field.

  • Delete the "Yes" entry from any you wish to restore, and the alerts will appear once more.

Do Your Own Find

To find dismissed calendar alerts in Music Monitor, you don't have to go via the Calendar Exclusions table. You can perform your own Find in the Calendar Entries file.

  • Go to Home > Student Activity > Calendar Entries.

  • Select Super Users at the bottom of the screen.

  • Select Find at the top of the screen.

  • Enter your search criteria. You may wish to search for a Date range, for specific text in the Calendar Exclusions field, or for "Yes" in the Dismiss field.

  • Select Perform Find

  • You can then remove the "Yes" entry from any you wish to restore, and the alerts will appear once more.
