Overview
This only applies if you enter student data directly into Music Monitor. If you import your student data from another system, this does not apply.
When entering data from a new enrolment application, you need to check carefully whether the student already exists in your database. If the student has changed email address and phone number since last time they applied, it can be possible to find you have two records for the same student. Music Monitor has a dedicated script to merge the two records.
The Process
First, note down the Student ID of the two files for this student, and decide which ID to keep and which to remove.
In the Students file, select More... > Merge Students.
You will see this alert, to check that you are doing this intentionally.
Select OK
Enter the Student ID numbers you noted down.
Music Monitor will work through all the relevant files (enrolments, attendance, loans & hire, etc.), finding the Student ID that is to be removed, and changing it to the one to keep. Then it will delete the duplicate student file, leaving one file with all the student's related records.
