Block or Suspend Enrolments

How to block or suspend enrolments in Music Monitor, and what the difference is

Overview

Music Monitor provides two options for halting lessons for administrative reasons: block, or suspend. The options have some effects in common and some differences.

Block

When an enrolment is blocked:

  • Future Calendar Entries are deleted.

  • The enrolment is removed from the teacher's Schedule.

  • The enrolment Status changes to "Blocked".

  • The enrolment will not be included in any new rolls that are generated.

  • The enrolment will not be picked up in billing that you run while it has that status.

Blocking is often used when a student has invoices that remain unpaid beyond a threshold.

Suspend

When an enrolment is suspended:

  • The enrolment remains on the teacher's Schedule, and Calendar Entries are unchanged.

  • The enrolment Status changes to "Suspended".

  • The enrolment will not be included in any new rolls that are generated.

  • The enrolment will not be picked up in billing that you run while it has that status.

Suspending is often used when a student has a known, extended absence such as a holiday or injury. In this context it is the same as deferring an enrolment.

Block or Suspend an Individual Enrolment

You can block or suspend one enrolment from within the Enrolment card.

  • Open the enrolment record from the tab on the Students file, or from the list in the Student Activity menu.

  • Select the Block or Suspend option.

To revert it later, simply select the box again to remove the tick mark.

Block or Suspend Multiple Enrolments

When an enrolment is blocked or suspended, the word "Yes" is entered in the Suspend field or the Block enrolment field in the Enrolments record. You can make these fields visible in Super Users view in the enrolments file (Tuition or Ensemble).

To block or suspend a group of enrolments:

  • Perform a Find for the enrolments you wish to act on.

  • Enter "Yes" in the relevant field for one of the enrolments.

  • Select Records > Replace Field Contents to copy that value to all the records in your found set.

You can also copy a blank value to all records when you wish to revert a group of enrolments.

Block All Enrolments for One or More Students

You can also block a student from all enrolments. This has the same effect as blocking each individual enrolment, but it also prevents them from being enrolled into any new activity until the block is lifted.

Block an Individual Student

To block an individual student from enrolling:

  • Go to the Students file

  • Find the student

  • Open their Personal and Family details window

  • Go to More... > BLOCK Enrolments

Block a Group of Students

To block enrolment for a group of students:

  • Go to the Students file

  • Find the students you wish to block.

  • Go to More... > Block enrolments for FOUND SET

Once a student's enrolments are blocked, the option to unblock them will be visible in the same places.
