Overview
In Music Monitor, Tuition enrolments are generally one-to-one lessons between a teacher and a student. You can also use this module to manage lessons shared among 2 or more students.
Enrolments in Music Monitor are set up with a Start Date and remain current until they have a Termination Date that passes. There is no need to re-enrol students each term or year. However, if your school process is to do that, Music Monitor can facilitate it.
Setup
A Tuition enrolment links together records from a number of other files. The only setup required before you can use the Tuition module is to ensure that you have the records you need in these files:
Students
Subject Codes - the instrument or other option the student is enrolling in
Staff
Fees - the options you choose in this file are called Lesson Types and determine the duration of the lesson and the fee.
Navigate to Tuition Enrolments
In many cases, the best place to manage Tuition enrolments is in the Students file.
Go to Home > People > Students
Find the student concerned
Select the Tuition tab to see their current and historical Tuition enrolment records
However, the full set of records is stored in the Tuition file. If you need to see records for multiple students in one place, this is where to look for them.
Go to Home > Student Activity > Tuition.
Add a Tuition Enrolment Record
From The Students File
The recommended way to add a new Tuition enrolment record is from the Tuition tab in the Students file.
Select the green + icon to add a new record.

From the Staff File
You can also add a new Tuition enrolment record from the Staff file.
Select the Students tab in the relevant teacher's record
Select the green + icon to add a new record.
The process for enrolling is essentially the same as if you do it via the Students file.
Edit a Tuition Enrolment Record
A tuition enrolment record can be edited from either the Tuition Tab in the Students File or the Tuition File. Select the tuition enrolment record to open it in the Tuition Form View then make any required edits. Subject should not be edited once an enrolment has commenced, but Teacher and Lesson Type may be.
Archive or Delete a Tuition Enrolment Record
Archiving a tuition enrolment record holds the record for data purposes.
Tuition enrolment records can be archived by entering a date in Date Terminated. If the date is a past date, the tuition enrolment record will immediately change status from 'Current' to 'Archived' and gain a yellow highlight. If the date is a future date, the tuition enrolment record will change status automatically when that date passes. Deleting a tuition enrolment record removes the data permanently. You should only be done if the record was created in error, and no such enrolment existed. To delete a Tuition enrolment record, use the Trash icon at the right-hand end of its row.
Re-Enrolment
An archived tuition enrolment record can be re-activated using Re-Enrol in the Tuition Tab in the Students File. This will clear the date in Date Terminated and reset Lesson Fee, Number of Lessons and Number of Lessons RP to current defaults.
Bulk Processes
Three scripts for conducting bulk processes can be found in the Tuition File under More.
Change Teacher for Found Set will permanently change the teacher for the found set of tuition enrolment records.
Send Found Set to Loans & Hire will create a new loans & hire record for each student.
Email Re-Enrolment Forms will draft an email to each student with a re-enrolment form attached.
Colour Coding
Records in this list are shaded in different colours depending on the enrolment Status.
White/Grey: Current enrolments
Yellow: Archived
Orange: Pending, Assigned, Enquiry, Blocked, Suspended, External
Add Notes
Notes can be added to a tuition enrolment record when viewing it in Tuition Form View. This view can be accessed by selecting the record in Tuition or the Tuition Tab in Students.
