Overview
When you finalise and export a batch of billing lines, they are marked with a Billing Date. If you later try to export lines that include any with a Billing Date entered, Music Monitor will give an error message and you will not be able to proceed without removing the lines that are already billed.
So if you want to recreate a previous export in one of the pre-formatted options available in the billing process, you need to follow this process.
Note: If you use Music Monitor to generate invoices, you should avoid using this process. (Selecting "generate invoices" as your option will create a whole new set of invoices with the same information as the last batch.) Instead, go to Home > Student Activity > Accounts, perform a Find for the relevant Billing Date, and use the Export icon to save as Excel from there.
Re-Export Options
If you simply wish to extract a list of the billing information that was captured in a past billing run, you can do as noted above:
Go to Home > Student Activity > Accounts
Perform a Find for the relevant Billing Date
Use the Export icon to save as Excel from there
However, if you need to recreate the same pre-formatted export from the options on the billing screen, this is how you do it.
Exit Music Monitor and log back in with an Admin account
Go to Common Tasks > Billing > Process All Unbilled Amounts
Perform a Find for the Billing Date of the billing run you need to re-export.
Select Useful Tools (but be careful) > REPLACE data in found set
Select the field Billing Date and leave the new entry blank
Select Continue
You will see the same set of records but no longer shaded yellow because they no longer have a Billing Date.
Select Click for options to FINALISE billing, and choose the format you wish to use.
Save the resulting spreadsheet.
NOTE: This process will enter today's date in the Billing Date for all these records. If that is not the date that was previously entered, correct that now:
Select Useful Tools (but be careful) > REPLACE data in found set
Select the field Billing Date and enter the date that was in there when you started
Select Continue
Finally, exit Music Monitor, and log back in with your everyday user account.
