How to move lesson allocation from one student to another in Music Monitor

Overview

You may encounter a situation where one student has paid for more lessons than they can receive in the year, and wishes to transfer some of their lessons to another student. Music Monitor can manage this.

When transferring lessons from one student to another, there are two things to keep track of:

  • The tally that shows how many lessons each student is entitled to receive;

  • The amount that has been billed for each enrolment.

Lesson Tally

The weekly roll shows how many lessons a student has received and how many they are entitled to in total. The total number of lessons the student is entitled to is simply the No. of Lessons per RP value from the Enrolment record.

Let's use an example of transferring 4 lessons from one student to another.

  1. Open the Tuition Enrolment that is giving away the lessons.

  2. Reduce the No. of Lessons RP value by 4

  3. Open the Tuition Enrolment record that is receiving the lessons

  4. Increase the No. of Lessons RP value by 4.

The rolls will now show that the first student is entitled to four fewer lessons than before, and the second student is entitled to four more.

Billing

To properly account for a transfer of lessons from one student to another, you must also adjust the billing to match. You need to create a credit line for the student who gave away the lessons and a charge for the student who received them.

In our example where four lessons are transferred from one student to another:

  1. Open the Tuition Enrolment record that is giving away the lessons.

  2. Change the No. of Lessons BP value to -4.

  3. Select the blue Send to Accounts button.

  4. Open the Tuition Enrolment record that is receiving the lessons.

  5. Change the No. of Lessons BP value to 4.

  6. Select the blue Send to Accounts button.

If the two students are in the same family (that is, the amounts are to be billed to the same debtor), there is nothing more to do. The two billing amounts will appear in the next billing run but will cancel each other out and make no net difference.

Different Families

If you are transferring lessons from one student to another in a different family, the billing steps above will result in a credit for one family and a charge for the other. Please contact our support team if needed for help in resolving that.
