Send Camp or Excursion Fees to Accounts File

A process step-through for billing camp and excursion fees in Music Monitor

Overview

The Excursions module in Music Monitor has a field for the excursion cost. You can create billing records to invoice the students for these costs.

You can bill a batch of excursion fees at the same time. If there are new entrants after you have done the batch billing, you can bill them individually.

Bill a Batch of Excursion Fees

  • Go to Common Tasks > Billing > Send Camp or Excursion Fees to Accounts File

This script first opens the Loans & Hire file in Find mode, with one find request pre-filled with "Charge to account" in the Payment Details field and "=" in Sent to Accounts. This will find all excursions and camps records set to charge the student which have not previously been sent to accounts. You can edit the request as needed (such as specifying an excursion).

  • Select Continue to perform the find and display the found records for review.

Select Continue and follow the prompts to enter billing period and category details. The script will then display the newly created billing line items. The displayed records can be edited or deleted if needed.

Finally, you will be taken to the Student Accounts screen where you can check the records just imported. If you want to export just these records in a batch for your accounts department, you can use the blue button at the top marked Click for options to FINALISE billing.

You can always finalise and export these lines later. See Process All Unbilled Amounts for guidance.

Bill Excursion Fees Individually

When you are entering a new student into an excursion, you can send the fee to Accounts immediately. Select the blue Send to Accounts button.

You would generally only use this button to bill individuals who register for the excursion after you have processed billing for the main batch of students.
