Ensemble Attendance Data

Reports, points calculation, and other things you can do with the data you collect on Ensemble Rolls in Music Monitor

Overview

We have built a number of special features over the years for schools where ensemble attendance is the subject of particular requirements or rewards. This article describes the general data that is collected and the specific features that exist to make use of it.

What Data Is In There

New Ensemble Rolls

*New in 2026!* In Music Monitor version 10, the New Ensemble Rolls option has additional fields.

  • Point Value: If you reward students for good ensemble attendance, you can set up Attendance Codes for excused absences that mark the student as absent but do not punish them in terms of their attendance percentage.

  • Billing Count: You can now distinguish between billable absences and non-billable absences, just as you can with Tuition absences.

Attendance Count

The Attendance Codes for Ensemble attendance have a field to count the student's attendance.

But as you can see, it is possible to set up a code with fractional attendance. If you do not have the New Ensemble Rolls, this is the best way to award partial points for late attendance, for example. (In the new rolls, use the Point Value field instead.)

Percentage Attendance

This count is displayed on the rolls, along with the student's percentage attendance.

The percentage is calculated as the total attendance count over the number of rehearsals for which attendance data is recorded.

  • If the roll record is unmarked, the session will not be counted in the percentage calculation.

  • In the New Ensemble Rolls, the calculation uses the Point Value field, not the Attendance Count field.

Points Earned

Music Monitor can perform a calculation to award a point to students whose attendance meets a specified threshold.

Use the button found in the Settings wheel.

The default calculation is to award a point for students whose attendance is at least 80%. You can vary the calculation (contact us for support if needed).

Note: If students have absences that should not detract from their record for this points calculation, you can adjust their record by granting them Allowable Absences.

This allows your attendance records to correctly show the presence or absence of the student, while your points calculation accounts for their circumstances.

Get the Data Out

If the data is in Music Monitor, you can get it out. Below are the available options.

Ensemble Attendance List

*New in 2026!* In Music Monitor version 10, the New Ensemble Rolls have a List view of the records.

  • Go to Home > Student Activity > Attendance (Ensembles/Groups)

That takes you to a familiar List view screen, that has the usual options in the top bar to Find, Sort, Export to Excel, etc.

Ensemble Attendance Summary

New Ensemble Rolls

*New in 2026!* In the New Ensemble Rolls, this report is improved, and is accessed differently.

  • Go to the Ensemble Attendance List view, as described above.

  • Select More... > Show Summary

The report now looks like this.

The default view is summarised by both Student and Ensemble. It shows:

  • Sessions: The number of roll records in the period captured by your found set of records.

  • Attended: The total Attendance Count for that student over that period

  • Points: The total Point Value or that student over that period

  • % Attendance: Point Value divided by Sessions, as a percentage

  • Billing: The total Billing Count for that student over that period

You can use the buttons in the top bar to sort by Student, by Ensemble, or Both. This allows you to easily extract useful attendance information for particular ensembles or students if needed.

You can export to Excel, PDF or print from here You can jump back to the List view using the red Go to List button.

Old Ensemble Rolls

This report is available from the Print icon in the Ensemble Rolls screen.

For whatever set of roll records you're looking at when you run this script, Music Monitor will produce a summary grouped first by Student, and then by Ensemble name.

From here you have options at the top to export to Excel or PDF or to print.

*New in 2025!* From version 9.259 onward, this report is also available from Common Tasks > Roll-Marking ENSEMBLES. If you run it from there, you will go via a search screen to determine which roll records to display.

*New in 2026!* From version 9.295 onward, this report includes the Student ID field.

Roll Records as PDF

You can see that in this menu you also have the options to print the roll - with or without notes. That will send the roll records you currently have on your screen to your computer's Print menu. In that menu, you can use your computer's inbuilt functions to print as PDF instead of to a printer.
