Manage Miscellaneous Fees

Adding, deleting and editing miscellaneous fees in Music Monitor

Overview

Fees records in Music Monitor have a Fee Category, which determines what usage they're made available for and also which list you will see them in.

Miscellaneous Fees are used to create line items that aren't derived from student activity records. The charge for a tuition enrolment is created from the enrolment record, but if you charge students for books or other sundry items, the fees for those items will be set up in Miscellaneous Fees.

Schools that manage invoicing and payment records in Music Monitor will also have records in this list for use when processing a refund or writing off a bad debt. See Write off or Refund Credit Balances and Write Off Bad Debts for guidance.

Navigate to Miscellaneous Fees

The Fees file hosts miscellaneous fee records.

  • Go to Home > Setup Files > Fees > Miscellaneous.

Add a Miscellaneous Fee Record

  • Select the green + icon

The fields are:

  • Fee Category: This will be pre-set to "Miscellaneous" and cannot be changed.

  • Account Category: As described above.

    • When you wish to apply a miscellaneous charge to one or more students, the first field you will need to choose is this category field, so it's best to set up and use a smallish number of clearly named categories to list these fees under.

  • Description 1: This is the text that will show on the line item charged to the student.

    • In applying the fee, once you have selected a Category, this field will give you options of all the records that have that category assigned.

  • Description 2: You may have multiple different fees with the same Description 1, differentiated by the entry in Description 2.

  • Amount: Enter a number without the $ sign. Music Monitor will display it as a dollar figure.

Edit a Miscellaneous Fee Record

A miscellaneous fee record can be freely edited. Changes will apply to all future student accounts line items.

Delete a Miscellaneous Fee Record

Miscellaneous fee records can be freely deleted using the Trash icon on the end of the row for that record.
