How to manage student enrolments when you have notice of a long absence

Overview

Music Monitor provides methods for distinguishing between approved absences and unexplained absences in roll marking. But when you know about the absence in advance, you can save yourself even that work by suspending the enrolment.

This applies to Tuition and Ensemble enrolments.

In Music Monitor, the term "suspend" means the same as "defer". It is an enrolment that is simply on hold for a period of time.

Suspend

The method for managing extended absences is to Suspend the enrolment.

  • Open the Tuition or Ensemble enrolment

  • Down the bottom of the enrolment record, select the Suspend button

The Status of the record will change automatically to "Suspended".

When an enrolment is suspended:

  • It will not be added to rolls you set up

  • It will not be included in billing you generate

Notes

There is currently no provision for setting a start or end date for the suspension of an enrolment. You must suspend it when the suspension needs to start, and then un-suspend it when the suspension needs to end.

When you are suspending a Tuition enrolment, you can make the change as soon as you have generated the last roll that they should appear on, even if that roll has not been marked yet.
