Overview
At the end of the year, after pays and adjustments have been completed in full, it is recommended that you archive the Attendance records for that year. Archiving attendance records improves Music Monitor performance in the Attendance File and related layouts. Archived attendance records are stored in a separate file, so performance considerations must be balanced against the need for easy access for reporting purposes.
When to Archive
Attendance records are used for calculating billing reconciliation, or billing in arrears, and for calculating payroll, so you must wait until those processes are complete before archiving.
If you routinely refer to recent Attendance records in the early part of the following year, you may prefer not to archive until the period where you need frequent access to them has passed. That said, the Attendance Archives file is now much easier to use than it used to be, so you may find that it is just as easy in that file.
NSW Regional Conservatoriums, who need to complete the twice-annual reporting to the DoE, must wait until they have finished the reporting on a period before archiving the Attendance records relating to that period.
How to Archive Attendance Records
Go to Common Tasks > End of year procedures > Archive Attendance records.
You will be prompted to enter a start date and finish date for the Week Commencing to determine the records to archive.
Select OK and then follow the prompts to send the found set of attendance records over to the Attendance Archives file.

To view archived attendance records, go to Home > Navigation Map > Attendance Archives.
Alternatively, if you are already in the Attendance file, select Scripts > Go to Attendance Archives.
