How ensemble rolls work from version 10.0 onward

Overview

*New in 2026!* Ensemble rolls have been completely rebuilt, to resolve a limitation in the old structure. They require less setup and allow flexibility for a lot more future development.

Ensemble rolls record the attendance of students at ensembles and all other group activities that are set up in the Ensembles file. The attendance for each ensemble is laid out in a grid with columns for the rehearsal dates and rows for the students.

*New in 2026!* From version 10.003 onward, the Ensemble Roll has a phone-friendly layout that will show when viewed on a mobile device. It shows fewer columns on the screen so that they're a better size for viewing.

Setup

Settings

To use the New Ensemble Rolls, you need to enable it in the General Settings.

  • Go to Home > Settings > General Settings > Attendance

  • Set Use new rolls? to "Yes"

Rolls Setup

In Music Monitor version 10, setup of ensemble rolls is extremely simple. There are two options.

Create Calendar Entries

As soon as you create a Calendar Entry for an ensemble, a roll will be created with it. All members of the ensemble will automatically appear on any rolls for that ensemble.

If you use the Scheduling function in Music Monitor, creating calendar entries is part of the routine, so your ensemble rolls will be set up at the same time.

Create Individual Instances

If you don't use Calendar Entries, or if you want to create an additional rehearsal for an ensemble, you can create it directly from the roll window. Even if there are no rolls set up, the roll window will be accessible so you can create a roll from there.

Ensemble leaders and music administrators can each do this.

  • Open the roll. Even if there are no roll records, the window will still open.

  • Select + Add Date

  • Enter the date and time.

    • It will pre-fill today's date; edit if needed.

Use The Interface

Sort the List

Use the Sort by buttons in the top left to organize your students alphabetically by Last Name, by Year level, or grouped by their ensemble Part.

Change Views

Toggle between This Week for a focused, clutter-free look at your current rehearsals, or Full Term to see the entire term's attendance history at a glance.

Switch Ensembles

Click the Change Roll button in the top right to open the selection menu and jump to a different ensemble.

Student Details

Double-click on any student's name in the left column to instantly open their detailed profile.

Open An Ensemble Roll

  • Go to Office Admin > Roll Marking Ensembles > Mark Rolls

The window now looks like this.

The Term & Year information will be pre-filled with the default information from your setup. (Change if needed.)

The Ensemble Name field will show a drop-down of rolls you have access to.

  • Users with a Teacher login will see only the rolls they can mark.

  • Admins with a Campus-specific login will see only the rolls for their campus.

Select Continue to open the selected roll.

Features of the Rolls

The ensemble rolls open in a web viewer, and look like this.

Single Clicks

To mark a student, simply click the cell directly under the rehearsal date. Each click will cycle to the next available attendance code.

Colour Indicators

The grid uses colour to give you an instant visual summary—green backgrounds for present, and red backgrounds for absent. This week is highlighted in yellow. A legend of your school's specific codes is located at the bottom of the screen.

The Mark All Button

Select the ✓Mark All button in the toolbar to quickly mark the entire ensemble as present for a specific date, then manually click the few cells for students who were absent or late.

The 7-Day Marking Window

To ensure data integrity, attendance can only be entered or changed for today's date and the previous 7 days. Dates older than 7 days will be greyed out and locked from editing.

Log Future Absences

You can click into future rehearsal dates to log known upcoming absences (e.g., a planned school excursion or prolonged illness). The system will automatically restrict future dates to absence codes only.

Modify the Schedule

Add Students

Select the +Add Students button in the top toolbar to enrol a new member into your ensemble.

Add Rehearsals

If you are holding an extra or ad-hoc rehearsal that isn't on the schedule, select the +Add Date button to generate a new column for that session.

Attendance Notes

The Orange Pencil

If a note is attached to a student's attendance record, a small orange pencil icon (✎) will appear in the top right corner of their cell.

Quick View

Hover your mouse over the orange pencil to reveal a tooltip showing the beginning of the note.

Add or Edit Notes

Select the orange pencil to open the full notes window, where you can read the entire entry or log new information.

  • Select a Note Category from the drop-down list.

    • See below for how to set up those categories.

    • Staff can write in their own if the options are not suitable. This will not change the available options for future use.

  • Enter the body of the note in the next window.

Set Up Note Categories

To edit Note Categories, go to Common Tasks > Roll-marking Ensembles > Manage attendance note categories.

Add, edit, or delete entries as needed.
