Overview
Ensemble Rolls record only the student attendance at the rehearsals. Staff attendance is marked on the Staff Rolls, as for Tuition enrolments.
*New in 2026!* From version 10.002 onward, we have built an entirely new Ensemble Rolls setup. See Ensemble Rolls Version 10 for guidance.
For version 9, read on.
Ensemble timing is generally fixed for an entire term or more. Even if individual students join and leave, the ensemble itself will generally run on a regular schedule for the whole term. Therefore, it's practical to set up Ensemble Rolls at the start of the term, for the entire term.
Ensemble Rolls display the term and year and also a date for each rehearsal. You enter this information during the setup.
Settings
There are no settings that prevent you from setting up Ensemble Rolls, but the article on Attendance Settings includes tips on enabling or disabling teachers' access to mark the rolls.
Note, however, that if an ensemble has no members, or if you have set a minimum number of members and the ensemble has fewer members than that, a roll will not be created for that ensemble.
Set Up Ensemble Rolls
Set Up All Ensemble Rolls
Go to Home > Office Admin > Roll Marking Ensembles > Set up rolls for term or semester.
Note: Music Monitor will stop this script if you still have current rolls that have not reached their Archive Date.
Set Up Only Some Ensemble Rolls
You can also set up ensemble rolls from Home > Set Up Files > Ensembles.
One Ensemble At A Time
Select an ensemble to view detail.
Select More… > Create student roll for THIS ONE ensemble.
Multiple Ensembles Together
In List view, perform a Find and/or use the Omit icon to show a Found Set of only the Ensembles you wish to generate a roll for
Select More... > Create student rolls for FOUND SET
Set the Dates
The script that generates the rolls will open a window where you can set the dates you wish to generate rolls for.
Term or Semester, and Year: This is the label that will be shown on the roll, that you will select when finding the roll to mark.
We recommend you use Terms here. You can generate up to 20 weeks' rolls, but more than 10 can be inconvenient to view when marking.
Week Commencing or rehearsal dates: These dates will be shown at the top of the columns in your rolls. If you set up all ensemble rolls in one go, you must use the Week Commencing date (the Monday), but if you set them up in batches by their rehearsal day, you can enter the exact rehearsal dates.
Enter the first date in the first box
Select Auto-fill
Enter the number of weeks you wish to auto-fill
Music Monitor will fill the other dates
Archive Date: This is the date on which the roll will no longer be current and you will not have access to mark them. You cannot generate next term's rolls until this date passes, so we recommend setting the date just before you intend to generate the next set of rolls.
Select Continue and Music Monitor will generate the rolls.
View the Rolls
When Music Monitor finishes generating ensemble rolls, the script will finish by displaying the rolls it created.
The roll shows
The term and year information you entered in the setup stage
The name of the ensemble, with the teaching staff underneath
The students' names, year levels, and ensemble parts
*New in 2026!* From version 10.023 onward, it shows the number of records in the black top bar, with arrows to move from one record to another
It also shows the attendance information in the columns on the right.
And it shows the Archive Date at the bottom.
Below is a video that shows you the process for generating all rolls at once.
