Adjust a Lesson Length

What if a student has a longer or shorter lesson than usual

Overview

If a student has a longer or shorter lesson than the regular length as set up in their enrolment, it can be important to capture this on the roll so that it correctly records the student's whereabouts at the time of the lesson. It can also impact on payroll and billing calculations.

Music Monitor allows you to capture these changes. Both music teachers and music administrators have access to do this.

Music Teachers

This section is addressed to music teachers.

If a student is having a lesson of a different length from what's listed on the roll, you can adjust the length for this one lesson.

  • Open the roll

  • First mark the lesson that you need to adjust

  • Then select the student's name to open the record

  • The usual session length will be shown. Select the Pencil icon next to it to adjust it.

  • In the box that opens, enter the length of this week's lesson. The lesson count will automatically adjust to reflect the change.

You will also be required to add a comment about why the lesson length is changed.

Payroll calculation from this roll record will now calculate the adjusted amount of pay. Music Monitor will also record that the student was given the adjusted lesson count, so if this is a make-up for a previous or upcoming missed lesson, the final tally will take account of the longer lessons.

Music Administrators

This section is addressed to music administrators.

If music teachers advise you of an adjusted lesson length, you can make the adjustment for them.

  • Go the the roll that shows the lesson you need to adjust

  • Ensure that the roll record is marked already

  • Select the Pencil icon next to the lesson that needs to be adjusted

  • You will see the same box that music teachers see when they are making this adjustment

  • Enter this week's lesson length

  • Music Monitor will calculate the new Lesson Count accordingly

  • You will be required to enter a comment about why the lesson length is adjusted this week

Payroll calculation from this roll record will now calculate the adjusted amount of pay. Music Monitor will also record that the student was given the adjusted lesson count, so if this is a make-up for a previous or upcoming missed lesson, the final tally will take account of the longer lessons.

Troubleshooting

The normal lesson length is drawn from the Staff Load per Lesson field in the Fees table. If that field isn't filled out correctly for the Lesson Type allocated to this enrolment, the field labelled "normally" in the lesson adjustment box won't display the correct lesson length.
