I Can't Create Ensemble Rolls

How to resolve this error in Music Monitor

Overview

This applies if you use the old Ensemble Rolls option. If you use the new Ensemble Rolls, it does not apply.

When you run the script in Music Monitor to set up ensemble rolls for the term or semester, it checks that your old rolls have passed their archive date. If they have not, you will see an error that says "Your existing rolls haven't passed their archive date. You must wait for your current rolls to archive before setting up rolls for the next term/semester."

This is to prevent errors that can occur from having two different rolls current for the same ensemble.

If your ensembles have finished but the archive date hasn't passed yet, you can change the archive date to allow you to set up your new rolls.

Don't Just Edit Dates

Ensemble Rolls have an Edit Dates option, which is helpful if you want to edit the rehearsal dates that appear on the rolls. But this script changes all the rolls in your current list. If you have set up your rolls carefully to show the actual rehearsal date, and not just the Week Commencing (Monday) date on all rolls, or your dates are modified or customised in any other way, running this process will change all your rolls to show the same date headings.

Use the Troubleshooting Screen

To avoid this error, make this change through the Troubleshooting screen instead.

  • From the Ensemble Roll, select Scripts > Troubleshooting.

  • In the Troubleshooting screen, select Show All Fields : Attendance : Ensemble Attendance

In the All Fields view, you can see the Archive Date for all records. It may be that only the records for one or a few ensembles have a later date, or it may be the whole set.

  • Set one record's Archive Date to the one you want them all to be.

  • Select Records > Replace Field Contents

  • Check the dialogue that opens, to ensure it says it will replace records in the Archive Date field with the correct entry.

  • Select Replace to copy that entry to all records in this found set.

If the Archive Date for all your ensemble rolls is before today, it should now allow you to set up next term's rolls.
