Overview
The Students file is a central file in Music Monitor. The Students Form view displays details on the given student and a large selection of tabs. These tabs display portals that allow you to view the records in other student activity files relating to this student.
From the portals provided in these tabs, you can view, edit, create and delete records for the given student in all their activities. You can also search the Students file according to the entries that are visible in these tabs. The list below introduces each one and links to the articles that relate to them.
To make the Students file display better on different screen sizes, it is divided into two sections, with the most commonly used modules in the first section.
Main Section
The tabs in the main section on the Students record are the most commonly used ones, connecting to Music Monitor's core modules.
Activity Tab
This tab displays current student activity in tuition enrolments, ensemble enrolments, and loans. It gives immediate insight into the student's current activity, and also allows you to find a set of students by their current activity.
Tip: Because this tab displays only current activity, it's a good place to search for a list such as all current Woodwind students. Simply select Find, then select "Woodwind" in the Category field and press Enter or select Perform Find.
*New in 2026!* From version 10.003 onward, overdue items appear in red text. In older versions they did not appear in this tab.
Accounts Tab
The Accounts tab displays student account line items for the given student. When anything is sent to Billing by any method for this student, the record will appear in this tab.
Accounts lines that have been finalised and exported for your finance department will be shaded yellow and have an entry in the Date Billed field. White lines with no Date Billed will be picked up when you run the Process All Unbilled Amounts script.
You can also create line items directly in this tab, but you should only do this for miscellaneous charges. Billing for all enrolments and other student activities is best done from the other activity tabs or bulk billing scripts.

Tip: This tab has a Process All Unbilled Amounts button down the bottom, which allows you to finalise billing for this one family.
Note: It finds billing lines for the whole family, so if the student has siblings with the same Debtor ID, any billing lines for them will be included too.

Attendance Tab
The Attendance tab displays attendance records in tuition as well as ensembles and classes for the displayed student. As soon as you create attendance records by any means, they will appear in this tab for the students they relate to.
You can filter the Tuition Attendance records by Subject or by Attendance Code using the filters above the portal. Note that you can filter by both Subject and Attendance Code at the same time.
You can view, edit, mark or delete Attendance records in this tab. You can also create new attendance records here.

Calendar Tab
In this tab you can view, open and edit or delete Calendar Entries relating to this student. By default, the portal displays the Calendar Entries of the student for the current week and into the future. You can see records from a past date by entering that date into the Date filter above the portal.
You can also filter these records by Category. For students the categories will usually be only "Tuition" or "Rehearsal", but if a Calendar Entry with another category is allocated to this student, it will appear here and you can filter or search by it.
The green Calendar Exclusions button displays calendar exclusions that relate to this student. If the exclusion no longer applies to this individual student, you can remove their name from it using the Trash icon next to the listing.

Ensembles / Classes Tab
The Ensembles/Classes tab displays the ensemble enrolments for the given student. You can view, edit, create, or delete ensemble enrolments from this tab.
To add a new ensemble enrolment for this student, select the green + button at the top right of the portal.
To see these records in the Ensemble Enrolments file (instead of through this portal), select the List icon at the top right of the portal.

Exams Tab
The Exams tab displays exam enrolments for the given student. Exams records can be viewed, edited, create and deleted from this tab. It also serves as a record of exam participation and results.

Loans & Hire Tab
The Loans & Hire tab displays the loan records for the given student. Records can be viewed, edited, created and deleted from this tab.
If the student has a current Loans & Hire record, the name of this tab will be written in green text.
The Loans & Hire module connects to the Resources module, allowing you to lend out your listed resources and track who has them and when they are due back.

After setting up a Loans & Hire record, you can use the blue Hire Form button to send your rental agreement to the student or family.

Notes Tab
The Notes tab displays notes relating to this student. Notes from several different records are all visible in this portal:

Loans & Hire
Best practice is to create notes in the file they relate to, so notes about the student's tuition enrolments should be created in the Tuition record, and only viewed in this tab. Notes that relate to the student generally, and not just to one specific enrolment, can be created in this tab.
The name of tab will show in red text if notes less than 3 months old are present.

Tuition Tab
The Tuition tab displays the tuition enrolments for the given student. Records can be viewed, edited, created and deleted in this tab.
This tab is the usual place to enrol a student into a new lesson in Music Monitor. Select the green + button to create a new record.

Notes about this tab:
Current enrolments show on a white background.
If an enrolment has a Termination Date entered and that date has passed, its Status changes to "Archived" and the record shows on a pale yellow background.
The Re-Enrol button removes the Termination Date from the record and reverts it to a current enrolment.
The numbers under the No. Lessons heading are:
The number of lessons per billing period (BP), which is the number of lessons that will be billed if the billing is generated from this record as it stands.
The number of lessons per reconciliation period (RP) which is the number of lessons the student is expected to be billed for when you come to reconcile lessons billed against lessons given.

The small green star showing in the top record indicates that the enrolment has a Discount allocated to it. Hover the mouse over the star to see the discount description.

Second Section
Select the More >>> button to move to the second section, which has additional modules that are used by some but not all users.
Awards Tab
The Awards tab shows all awards records for this student. The Awards module is intentionally very simple, and just records the names and descriptions of awards in text fields, along with when they were awarded.

Select that icon to view the same records in the Awards file instead of through this portal.

Auditions & Excursions Tab
The Auditions & Excursions tab displays the excursion enrolments for the given student. Excursions, camps, and auditions can be viewed, edited, created and deleted from this tab.
The module facilitates permission notes, invoicing for costs, as well as simply recording participation.

Performances Tab
The Performances tab can be used to track student participation in recitals, concerts and other performances. It records information about the piece they perform, as well, which may be exported for use in a program document.

Reports Tab
The Reports tab displays the assessment reports for the given student. Reports can be created, viewed or edited in this tab.
The Reports module allows your school to customise the content that appears on reports for teachers or admin staff to complete.

Workshops Tab
For schools and conservatoriums that enter student details manually, the Workshops tab displays workshop enrolments for the given student. Records can be viewed, edited, created and deleted in this tab.
